Handles appointments, depositions and evaluations ensuring a strong schedule to maximize doctor time with patients.

Coordinate insurance verification, collection and posting of payments

Handles the billing and collection of services through online billing portals

Evaluates denied billing, identifying the issue, drafting appeals letter and resubmitting the billing for insurance company payment

Is the primary contact for patients, the liaison with attorneys’ offices and other outside vendors.

Assist with online research for med-legal cases

Transcribe dictated reports for med-legal use

Evaluate workload and adjust tasks as needed to efficiently handle high priority matters
REQUIREMENTS

3+ years' experience handling the Front Office or Billing of a private medical practice

Prior experience using Prime Clinical EMR system

Strong computer and online research skills

Experienced coding with ICD-10 codes with the knowledge of how to look up codes when needed to ensure billing is complete and accurate when submitted to reduce denials

Strong writing skills to take notes, draft appeals letters and communications with outside professional offices

Fast and accurate typing speed for transcription and note taking

This role is the patient’s primary source leading them through the plastic surgery process from start to finish!

Educate callers about the doctor, the practice’s offerings, the plastic surgery process and other details to secure consultations

Provide potential patients with education and options about procedures during a consultation

Work with patients to understand what to expect and what arrangements to make for before and after surgery

Coordination of all documents/consents/insurance, assist with any financial matters or connect to resources

Take photos at all stages of the process ensuring they are included in the patient’s chart

Assist with occasional suture removal or light wound care/bandaging.

Not shy about photographing a nude body for pre and post-op purposes

The staff rotates a PAID week-long on-call triage schedule
REQUIREMENTS

This role is open to someone coachable / a newer LVN but requires prior Back Office experience that may include work as a medical assistant.

Experience working in a surgical environment is highly desired but private medical practice or hospital experience is required!

Not shy around nudity with an ability to relax nervous patients during exams and personal discussions

Upbeat and outgoing personality - ability to talk with anyone about plastic surgery on any body part

Should have some level of “Sales experience to “sell” the practice by developing a rapport with people calling in for information.

An ability to pick up the phone and call anyone to secure information, referrals or handle surgery preparations.

Ability to remain calm and reassure nervous patients during the process

Polished appearance, clear communication style spoken and written

Computer proficiency to coordinate documents, update charts and coordinate surgical arrangements

Strong attention to details and an ability to ensure all details are in order prior to surgery day

This role does not require blood draw or IV experience but should be comfortable assisting with post-op wound and drain care if needed,

Sit in on consultations, providing patients with information and options on costs

Handle Insurance verification and discuss financial responsibility with patients, providing resources and options for payment

Once procedure is booked, coordinate all pre-op exams, consents and other paperwork

Coordinate the staff and surgical suite details, order garments and other supplies needed

Counsel patients on what to prepare for pre-op and post-op such as transportation, recommended supervision and support, post-op exams and what to expect post-op

As the practice grows, this position will turn into a management role helping to expand the practice, services and staff

Liaison with patients, insurance biller, and social media team (all contracted help communicates with Practice Manager)
REQUIREMENTS

Experience working with patients in an aesthetic surgical or dermatology practice setting

The ability to close the deal in consultations

Professional level communication skills, written and verbal

Personable and outgoing demeanor to build a strong rapport with patients so they feel supported through their entire process

Persistent and organized in ensuring all details are handled and patients are prepared in advance of procedure day

Computer proficient in PC and iPad, with an ability to learn the EMR program on your own

Experience in handling the coordination of multiple surgeries in overlapping schedules
-
Understanding of medical billing to support external billing staff with details
-
Dependable - must be able to arrive on time, be at work every day and handle tasks with minimum supervision
