(Job #2235) SURGERY SCHEDULER for MARINA-area medical practice. Work with the Front Office to coordinate consultations, exams, and surgeries.


  • Answer calls identifying the caller’s need and providing information on what the practice offers, route calls or take messages
  • Make and confirm consultations, pre/post-op exam appointments and surgeries.
  • Track and follow-up on consultations answering questions and providing information on next steps
  • Handle insurance verification, authorizations, collect and document payments
  • Collect and post payments
  • Ensure all consents and other surgical documents are completed prior to procedure day
  • Provide patients with Pre-op instructions, provide guidance regarding post-op transportation and care


  • Must have 1+ years' experience scheduling surgical procedures AND 2+ years’ consistent employment in a medical practice in any role.
  • Ideal candidates have experience in plastic surgery
  • Professional appearance and communication skills; warm and friendly personality.
  • Strong phone and organizational skills, with an ability to coordinate and prioritize tasks
  • Computer proficient with an ability to pick up a new program easily with minimum instruction.
  • Ability to handle tasks with minimum supervision.


  • M-F normal 40-hour work week 9a-5:30p NO NIGHTS, WEEKENDS OR HOLIDAYS!
  • $22+/hr + Compensation based on experience

  • Seeking someone who is experienced, polished and committed to a high degree of patient care.
  • General front office duties, including patient check ins/out and scheduling for a 3-doctor practice
  • Answering phones Gathering lab results


  • 5+ years’ experience in a medical work environment required
  • High attention to detail in performing tasks and writing
  • Strong understanding of proper business and medical office behavior, communication, writing and speech
  • Should be PC proficient with EMR experience (office uses IMS and Kareo)
  • Medium to high level of typing accuracy with efficient WPM typing speed.
  • Must be able to prioritize tasks with strong organizational skills and enjoy working with others covering as needed to ensure patients’ and doctors’ needs are met
  • Have a knowledge of medical terminology and an interest to proactively expand that knowledge
  • Experience working in a very busy office with multiple practitioners and their assistants
  • Covid Vaccination preferred and masks required in the office for all staff

  • Depending on experience: $23+

Doctor's Personal Assistant

(Job #2179) PERSONAL ASSISTANT to the doctor in the Beverly Hills Aesthetics practice. 


  • This position ensures that the doctor’s personal household runs smoothly by working with the nanny, housekeeper, and medical practice coordinator.
  • Oversees the coordination of kids with the nanny, housekeeper, pets, handles mail, bills, travel arrangements and various daily errands as needed to ensure the household runs smoothly!
  • Ability to step-in if the doctor’s practice needs occasional help with phones or basic filing.
  • Work duties center between the home and nearby doctor’s Beverly Hills medical practice.
  • This position DOES NOT travel with the family on vacations but may be asked to pet-sit or handle other details at the home while the family is away on vacation.


  • Must have 2+ years’ prior work experience as a personal assistant with professional references from those employers.

  • Background check and driving record will be checked due to the high level of security required for the children and access to financial and personal information.

  • Must have own personal transportation. When duties require using personal car, mileage is compensated.
  • Strong English language speaking, reading and writing skill; Good math skills to help with bookkeeping and bills.
  • High level of independent organization skills – there is no one to tell this person everything that must be handled. Must have an ability to plan ahead, look, listen, think, analyze and solve!
  • Willingness to handle “whatever” to ensure the household runs smoothly including light house neatening, bookkeeping, handling emergencies by identifying and hiring repair companies, coordinating car maintenance…

  • DISCREET – clear understanding that the “family business” cannot go beyond their family.


  • Generally, M-F daytime 40-hr week with some flexibility to start/end times depending on tasks being handled.
  • Compensation $24+ DOE, plus mileage compensation for work duties requiring vehicle.
